Acceptable Use Policy

1. Scope
This Acceptable Use Policy ("AUP") applies to all users of the Maecos platform, including the web application, APIs, reporting database, and any on-premise components provided by Maecos BV ("Maecos", "we", "us").
This Acceptable Use Policy forms part of the Maecos Terms of Service. In the event of a conflict between this AUP and a separate written agreement with Maecos, that agreement takes precedence.
2. Permitted Use
The Maecos platform is designed for manufacturing operations: standard work execution, issue management, shift handovers, training, document management, OEE tracking, and related activities. You may use the platform for any lawful purpose that falls within the scope of your subscription.
You may upload content relevant to your operations, including images, office documents, videos, and technical drawings. You are responsible for ensuring that any content you upload complies with applicable laws and does not infringe on the rights of third parties.
3. Prohibited Activities
You agree not to:
- Use the platform for any purpose that violates applicable laws or regulations
- Attempt to access another customer's data, infrastructure, or tenant environment
- Reverse engineer, decompile, or disassemble any part of the platform
- Introduce malicious code, viruses, or any software intended to damage or interfere with the platform
- Use the platform to store or transmit content that is illegal, defamatory, or infringes on intellectual property rights
- Deliberately interfere with the availability or performance of the platform for other customers
- Share login credentials between users or circumvent access controls or authentication mechanisms
- Use the platform for purposes unrelated to your organization's manufacturing or business operations
4. API Usage
Maecos provides APIs to enable integrations with your existing systems. API access is subject to the following conditions:
- API credentials must be kept confidential and not shared outside your organization
- API usage must serve a legitimate operational or integration purpose
- Automated requests must be designed to avoid unnecessary load on the platform. Maecos reserves the right to rate-limit or throttle API calls that degrade service quality for other customers
- Bulk data extraction via the API for purposes other than operational use or backup is not permitted without prior written agreement
Maecos may publish API rate limits and usage guidelines separately. Where specific limits are documented, those limits apply.
5. Reporting Database
Where Maecos provides access to a reporting database (read-only PostgreSQL views), the following fair use conditions apply:
- Queries should serve reporting, analytics, or business intelligence purposes
- Queries must be designed to run efficiently. Long-running or resource-intensive queries that affect platform performance for other customers may be throttled or terminated
- The reporting database is not intended for real-time data synchronization or continuous polling. For real-time integration needs, use the API
- Connecting third-party BI tools (such as Power BI, Tableau, or Looker) is permitted, provided the query patterns follow these fair use conditions
Maecos monitors reporting database performance and will work with you to optimize queries that cause issues. If performance concerns cannot be resolved collaboratively, Maecos may apply query restrictions as a last resort.
6. Security Obligations
As a user of the platform, you are expected to:
- Protect your login credentials, API keys, and database connection strings
- Report suspected security incidents or vulnerabilities to security@maecos.com without delay
- Use the platform's role-based access controls to apply least-privilege principles within your organization
- Ensure that users with access to the platform are authorized by your organization
- Promptly revoke access for personnel who leave your organization or no longer require it
7. Data Responsibilities
You are the data controller for all personal data you process through the Maecos platform. You are responsible for ensuring that your use of the platform complies with applicable data protection laws, including the GDPR where applicable.
This includes, but is not limited to, maintaining a lawful basis for processing, informing data subjects, and responding to data subject requests. Maecos acts as a data processor on your behalf and will support you in meeting these obligations as described in the Data Processing Agreement.
8. Enforcement
If Maecos becomes aware of a violation of this AUP, we will contact the designated administrator on your account and work with you to resolve the issue. We understand that most violations are unintentional and will approach them collaboratively.
In cases where a violation poses an immediate risk to other customers, the security of the platform, or the integrity of data, Maecos may temporarily restrict access to the affected functionality while the issue is investigated. We will notify you as soon as practically possible and restore access once the matter is resolved.
9. Changes to This Policy
We may update this AUP from time to time. Material changes will be communicated to account administrators via email at least 30 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the updated policy.
